Background

All University System of Georgia (USG) institutions are required to report and store faculty performance review scores and outcomes (including annual evaluations and post-tenure review) in OneUSG Connect. We have created a Smartsheet process to help streamline this process for you.

Timeline

  • January – March 31: Supervisors enter scores as shown below.
  • April 1 – May 2: Unit review period.
  • May 2: Deadline for submitting all faculty performance review scores (annual evaluations, post-tenure reviews, and review of administrators) and fully approved Performance Remediation Plans (PRPs) and Performance Improvement Plans (PIPs).
  • May 3 – June 29: Faculty Affairs final review.
  • June 30: Scores / effort percentages uploaded into OneUSG Connect.

What are the benefits?

This process will allow units to maintain standardized records of individual faculty performance reviews, including year-over-year scores by category (teaching, research, service, administration, etc.) along with their effort allocations in each category. It will provide a yearly checkpoint to ensure that effort is allocated appropriately, and to make corrections if not. In addition, review scores over time will be readily available for reference at the time of promotion and periodic or corrective post-tenure reviews. We are also exploring options to ensure faculty self-service access to their own data.

Does this change evaluations?

No. This reporting process will not change the substantive criteria on which faculty are evaluated or the evaluation process or forms themselves. All units updated their annual evaluation documents during fall 2022, pursuant to USG and UGA policy revisions. This OneUSG Connect reporting process simply creates a technology solution to the USG reporting requirements that were included with those policy revisions and a centralized repository for faculty performance review data.

Get Started

Department Heads and other faculty supervisors will enter annual performance review scores for faculty in their units. A Smartsheet process has been developed to make this process quicker and easier for you.

1. Click on the applicable button below (most people will use the first button) and enter your UGA email address log into Smartsheet via SSO and access your faculty performance review entry sheet. You should see a draft list of faculty in your department.

3. Click on a row to enter scores in the applicable categories, along with percent effort in each category. You will see an editing pane on the right side of the screen where you can enter scores and effort percentages.

4. Click save, and you’re done. Please note that the % effort fields may be blank the first time you complete this process. If you have completed this process for a faculty member in the past, the previous year’s effort % should be displayed. This process will provide a yearly checkpoint to ensure that effort is allocated appropriately.

5. When all fields have been entered, you will see the row status change to “Complete.”

Note: Department heads / supervisors will only have access to view the evaluation scores for individuals in their reporting lines.

Notice Data Discrepancies?

If you come across inaccuracies in the data (e.g., inaccurate faculty rank), it may not be critical to this specific process, but we need to ensure that the data in OneUSG Connect are accurate. Please share submit this Request to Update MFE Data form to let us know if you come across data discrepancies.
