Tip #1: UGA – Online Professional Development Opportunities
Although professional development activities cannot be held in person at this time, there are still online opportunities that can be utilized! A list of Recommended Remote Professional Development Activities is an online resource to support professional development and research-related educational needs at the University of Georgia. With these resources, professional growth can be achieved anywhere!
Tip #2: UGA – Cybersecurity Awareness and Increased Phishing Attempts
Cybersecurity awareness is important all year but is especially necessary as we are working remotely. We ask that you be particularly vigilant about anything that seems out of the ordinary. Use these best practices:
Watch for and be aware of the [EXTERNAL SENDER – PROCEED CAUTIOUSLY] header on emails coming from non-UGA and non-USG email addresses.
Use only your UGA email address for business communications and still be aware that accounts can be hacked. Examine email FROM addresses closely.
If you have any doubts, ASK before acting. Is someone asking you to buy gift cards or anything else unusual? Don’t even reply to that email. Write directly to your co-worker’s UGAmail address or better yet, Zoom or direct phone call.
Please continue to report any identified fraud attempts to the UGA Office of Information Security via [email protected].
The UGA EITS Phish Tank page can also help you recognize phishing emails and attempts that are being frequently reported on the Fresh Phish page. Phishing emails are designed to trick you into replying to them with personal information like your username and password, your birthday or financial account numbers. Be sure to complete your USG Cybersecurity by the April 30 deadline. Now is a great time for a refresher!
Tip #3: OneSource – Fiscal Year End Town Hall
Thank you to all 350+ attendees and speakers for participating in Thursday’s Fiscal Year-End Town Hall! We hope that it was beneficial and will aid in your year-end processes. Helpful resources for fiscal year-end processing include the FY20 Year End Letter, Year-End Town Hall presentation and the Year-End Town Hall recording.
Tip #4: OneSource – Business Continuity Resources
Don’t forget that to support successful operations of the University during remote operations, a Resources and Guidelines page has been cultivated for business continuity information! This page is continuously updated with the most recent continuity guidelines and resources, including flexibility in policies and vendor updates.
Tip #5: Finance – Purchasing: UGAmart 20.1 Release
As part of the UGAmart upgrade schedule, UGAmart will be unavailable from 9:00 p.m. on Friday, April 3 through noon on Sunday, April 5. It is anticipated that there will be significant changes to the look and feel of UGAmart.More details will be provided in the April 2 and April 9 status calls. The Training team will be working to update the UGAmart sections of the Training Library.
Tip #6: Finance – Budget Management: Budget Planning and Salary Setting (BPSS) Training and Office Hours
The recorded BPSS Policies and Procedures webinar has now been added to the OneSource Training Library! Thank you to those who participated, and we apologize for the delay in posting. We hope this helps to answer any questions. If you have any remaining questions, virtual office hours will be hosted next week, the week of Monday, April 6 – Friday, April 10. This will be an opportunity for Budget Management staff to answer your questions and walk through specific scenarios you are encountering within the BPSS tool. If you are interested in scheduling a 30-60 minute session, email [email protected] with two or three date and time options. If you would like anyone from your office to attend, please CC those individuals.
Tip #7: OneUSG Connect – Time and Labor: Time Reporting for Non-Closure Emergency Leave
The use of Non-Closure Emergency Leave and other Time Reporting Codes (TRCs) will be discussed in the Weekly Status Call on Thursday, April 2! If you need more information on these codes, please be sure to register for the April 2 Weekly Status Call.
Tip #8: OneUSG Connect – 6.0 Upgrades Complete: Clear your Cache!
As of this morning at 7:00 a.m., OneUSG Connect has completed its second upgrade related to the GA Tech onboarding process. With this upgrade, it is important to remember to clear your cache, especially if you have any unexpected responses from the system. For details on the update, please see the OneUSG Connect Release Notes.

Title: HR Onboarding
Status: Active – 3/27/20
Overview: Current UGA employees have received emails that indicate there are onboarding tasks to complete. Employees do not have to act on these emails.
Workaround: HR is working with the vendor, Equifax, to identify the root cause of this email.
System: OneUSG Connect
Title: Express Direct Retro Workflow Routing
Status: Active – 3/27/20
Overview: We are experiencing issues with the workflow routing for Express Direct Retros (EDRs). There are several EDR requests that are routing to the wrong approvers.
Workaround: Workaround: the user who receives the approval request in error should ad hoc the correct department back into the transaction.
System: OneUSG Connect
Title: Incorrect Version of Positions Funded by Suspense
Status: Active – 3/24/20
Overview: The incorrect version of the Positions Funded by Suspense query, under Commitment Accounting was placed in the MSS System Manager Reporting work center as a part of the 6.0 upgrade resulting in inaccurate data when running the query.
Workaround: OneUSG Connect is working to resolve the issue.
