Facilities Database Change

Overview:

Various units on campus access the “Facilities Database” or the “FIDB” for building and room number information. This database resides on the mainframe and references the three-digit budget department number. The Facilities Management Division system, AiM, sends facilities data to the Facilities Database (FIDB) on a nightly basis.

AiM is currently being retrofitted to include the new eight-digit department number used in the UGA Financial Management System (PeopleSoft). Starting on July 1, 2018, AiM will send facilities data to the Data Warehouse with these new department numbers. The Data Warehouse will be the authoritative source for facilities data starting July 1, 2018.

AiM will continue to send facilities data updates to the Facilities Database (FIDB) on the mainframe, but it will not include the new eight-digit department numbers used in the UGA Financial Management System (PeopleSoft). Any mainframe programs referencing the Facilities Database (FIDB) should continue to work properly after July 1, 2018. The Facilities Database (FIDB) will be decommissioned in January 2019 after the December 16, 2018 OneUSG Connect go-live. There is a possibility that the department number data sent to the Facilities Database (FIDB) may not be 100% accurate due to department number changes where there is not a one-to-one correlation with historical departmental numbers and the new eight-digit department number used in the UGA Financial Management System (PeopleSoft). FMD will make a best effort to map these department numbers in these situations.

If your unit currently references the Facilities Database (FIDB) for building and room number information, it is recommended that you view this information in the Data Warehouse starting July 1, 2018. Request access at https://oir.uga.edu/datawarehouse/connect/.

If your unit has any systems that receive data from the Facilities Database (FIDB), it is recommended that those systems be modified to reference the Data Warehouse instead. Request access for these connections at https://oir.uga.edu/datawarehouse/connect/.
