Unified ERP Program – Workday Implementation at UGA

The University of Georgia is pleased to announce the launch of the Unified Enterprise Resource Planning (ERP) Program, a major University System of Georgia (USG) initiative that will modernize and unify the administrative systems used across all 25 USG institutions.

Save the Date: Public Program Launch for faculty and staff on April 16 from 10:00 – 11:00 a.m.
This virtual town hall, open to all USG faculty and staff, will introduce the vision, goals, and purpose of the systemwide Unified ERP modernization effort and explain why USG is embarking on this transformation.

Save the Date: UGA Town Hall for faculty and staff on April 29 from 3:00 – 4:00 p.m.
This in-person town hall, open to all UGA faculty and staff, will provide an opportunity to learn more about the Unified ERP Program and hear from USG colleagues, UGA Project Sponsors, and key team members.

Program Timeline
Over the past several years, the USG has conducted a comprehensive assessment and selection process to identify a modern, sustainable solution to replace our current legacy systems, including the Financial Management System and OneUSG Connect. As a result, the USG has selected Workday, a leading cloud-based Software as a Service (SaaS) platform, to serve as the systemwide solution for Human Capital Management (HCM) and Financials. We are now entering the implementation phase of this multi-year effort, which will go live in July 2028. View the full timeline here.

USG Unified ERP Project Team
The project team consists of more than 600 individuals, including USG staff, institutional representatives, and Deloitte, the systemwide implementation partner. UGA alone has more than 65 members on this project team serving in nearly 90 different roles.

Schools, Colleges, and Change Network
Each school, college, and unit has identified Project Coordinators who will lead the implementation efforts in their areas, along with more than 320 Change Champions. These individuals and descriptions of their roles are listed on this webpage. These two groups, combined with existing faculty and staff advisory groups, will form a UGA-wide change network of more than 500 individuals who will help ensure two-way communication across all corners of the institution throughout the project.

Why This Matters
This initiative is more than a technology upgrade. It is a strategic investment in the future of higher education in Georgia. By moving to a single, unified cloud-based system, the USG will:

  • Provide a modern, intuitive, and mobile-friendly user experience
  • Standardize core business processes and policies across institutions
  • Deliver real-time data in one secure system for improved reporting and decision-making
  • Automate workflows and reduce manual paperwork
  • Eliminate reliance on aging on-premise infrastructure

To realize this vision, USG will follow four guiding principles focused on a single system, standard processes, the simplest solution, and successful partnership with all institutions.

As our current administrative systems continue to age, maintaining and updating them becomes increasingly complex and costly. A unified ERP platform will enable UGA and the USG to operate more efficiently, collaboratively, and strategically in the years ahead.

What This Means for UGA
At UGA, Workday will replace existing legacy systems supporting Human Resources and Financial operations. Both the HCM and Financial components will be implemented as part of the systemwide rollout, with full implementation in July 2028. This transition will affect many of our core administrative processes, including payroll, hiring, budgeting, procurement, and financial reporting. While a change of this scale requires thoughtful planning and collaboration, it also presents a significant opportunity to streamline processes, enhance transparency and data-driven decision making, and improve the overall experience for faculty and staff.

In the months ahead, you can expect regular communications, opportunities for engagement, and training and support resources to help prepare for system go‑live.
